The short answer

Microsoft Power BI suits organisations on Microsoft 365 that want full-featured, affordable dashboards built by analysts in a free Windows app. ThoughtSpot suits companies on a cloud warehouse that want business users to type questions in plain language and get answers without waiting for a dashboard. The biggest difference is approach: Power BI is built around authored reports, ThoughtSpot around search and an AI analyst over live warehouse data.

Microsoft Power BI or ThoughtSpot: our take

In Power BI, analysts build reports in Power BI Desktop, a free Windows app with data modelling, the DAX formula language and a wide range of visuals, then publish them to the Power BI service, where teams share dashboards, schedule refreshes and view reports in mobile apps. It connects to Excel, SQL databases, cloud services and Microsoft Fabric, and Copilot can help draft reports. ThoughtSpot puts natural-language search first: users type a question and get a chart or table. Its AI analyst, Spotter, handles follow-up questions, explains results and flags anomalies, while analysts get a modelling layer and SQL and Python notebooks in Analyst Studio. It queries Snowflake, Databricks and Redshift live, without extracts.

Power BI is usually cheaper. A free account covers personal use; sharing needs Pro at $14 per user/month (paid yearly) or Premium Per User at $24 per user/month (paid yearly), with capacity options for large deployments. ThoughtSpot starts at $25 per user/month, billed annually, with entry plans that cap users and data rows and custom enterprise pricing above that. It has a free trial, and its only free plan is the embedded developer plan, free for 1 year.

Each has catches. Power BI's serious authoring is Windows-only, and its licensing around Fabric capacity is hard to follow. ThoughtSpot's answers are only as good as the semantic model your data team maintains, so setup takes real effort. ThoughtSpot also has an Embedded edition for putting search and dashboards inside your own product.

Pick Power BI if your company runs on Excel, Teams and Microsoft 365 and has analysts who will build reports. Pick ThoughtSpot if your data already sits in a cloud warehouse, you have a data team to model it, and you want non-analysts to explore it on their own.

Which should you pick?

Choose Microsoft Power BI if…

  • Organisations on Microsoft 365 that want affordable, full-featured dashboards and reports
  • You want a free option (ThoughtSpot is paid only)
  • You need Windows, which ThoughtSpot doesn't list
  • Free Desktop authoring app with strong data modelling
  • Lower per-user price than most enterprise BI tools

Choose ThoughtSpot if…

  • Companies on a cloud warehouse that want business users to self-serve answers in plain language
  • Natural-language search and an AI analyst lower the barrier for non-analysts
  • Live queries against Snowflake, Databricks and Redshift without extracts

About each app

What is Microsoft Power BI?

Power BI is Microsoft's business intelligence platform and the most common choice in organisations already using Microsoft 365. Reports are built in Power BI Desktop, a free Windows app with data modelling, a formula language (DAX) and a wide range of visuals, then published to the Power BI service in the browser, where teams share dashboards, set up refreshes and view reports on mobile apps. It connects to Excel, SQL databases, cloud services and Microsoft Fabric, and recent versions include Copilot features for drafting reports. The free account covers personal use, while sharing reports with colleagues needs a Pro or Premium Per User licence, priced per user per month, with capacity-based options for large deployments. Its main drawbacks are that serious authoring is Windows-only and the licensing structure, especially around Fabric capacity, can be confusing. For teams living in Excel and Teams it is often the cheapest full-featured option.

What is ThoughtSpot?

ThoughtSpot is a BI platform built around natural-language search: business users type a question and get a chart or table back, without waiting for an analyst to build a dashboard. Its AI analyst, Spotter, answers follow-up questions, explains results and flags anomalies, while analysts get a modelling layer, SQL and Python notebooks in Analyst Studio, and live connections to warehouses such as Snowflake, Databricks and Redshift. A separate Embedded edition lets software companies put the same search and dashboards inside their own products through an SDK and APIs. It is mostly sold to mid-size and large companies with a modern cloud warehouse. Pricing is per user per month on annual billing for the entry tiers, with custom enterprise pricing, and there is a free trial. Getting good answers depends on a well-modelled data layer, so setup takes real data-team effort.
